1.4.1 Task Description Documentation

Initiation

Initiation is the first task in the process. It is the foundation of the project where fundamentals are determined (Harpham, 2017). The process starts when the stakeholders are notified about the project and the roles that they should play as well as when the project should start. Lastly, the cost of the project is estimated.

Preparation

The task of preparation starts when the project team is engaged and every member is assigned specific duties and responsibilities (Walker, 2015). The team assesses the available resources to determine the ability of the company to undertake the project. This task ends when suppliers for machinery and equipment are identified.

Execution

The execution starts by purchasing the machinery and equipment needed for the project. The devices should be installed, and lastly, the task should end by testing whether the system works as expected.

Closure

Once the project has been fully completed, it is handed over to the management of the organization, and the process is closed.

1.6 Work Authorization

The terms of the contract require each party to play their role. The party that breaches the contract will be responsible for the damages caused and will compensate the abiding party. If the contractor (supplier) breaches the contract, they will not be paid and any expenses incurred will be refunded. They will be sued so that legal processes can take over. When there are changes in contract terms, the project manager and the head of IT must be notified because they head the team.

1.7 Project Charter

The purpose of the project is to upgrade the IT department. The objective is to make the system safer and more efficient. The project will be conducted by installing new and more powerful machinery and equipment. The stakeholders in the project include the IT and financial departments because they are directly involved. Suppliers and external technicians are also stakeholders because their input is required for the project to be delivered.
